How is chargeable weight worked out in consolidation?

Air freight charges on the greater of actual weight and volumetric weight. Sea freight usually switches to a volume basis instead. Both approaches exist for the same reason: to make goods that are very light but take up a lot of room carry a fair share of the space cost. Otherwise a single carton of toilet roll would absorb the cost of an entire slot.

Four terms are worth separating before you go further:

How do you measure volumetric weight, and which divisor applies?

The formula is length times width times height in centimetres, divided by a fixed divisor. Two divisors are in common use for air freight, 5000 and 6000. Which one applies depends on the carrier and the lane, so confirm it before you ship. What you measure is the outermost edge of the carton, not the usable space inside it.

The correct measuring procedure:

  1. Measure after sealing, because a sealed carton bulges slightly compared with a flat one.
  2. Measure the outermost edge, including handles, tape, corner protectors and any document wallet stuck to the outside.
  3. Take the longest side as the length, then width and height. The order does not change the result but it makes checking easier.
  4. Round up to whole centimetres, so 40.3 cm is recorded as 41 cm and you avoid under-stating.
  5. Record all three sides separately, rather than noting one approximate size.

Common measuring mistakes:

  • Measuring the goods instead of the carton: charges are based on the outer carton, not on what is inside it.
  • Ignoring irregular protrusions: suitcase wheels, chair legs and lamp brackets all get counted.
  • Measuring soft packs at their flattest point: bagged goods spring back after pressure, so measure them in the fuller state.
  • Averaging across multiple cartons: every carton is measured and calculated on its own, never as a batch average.

How do you estimate actual weight without scales at home?

With no kitchen scale or luggage scale to hand, the difference method on bathroom scales is the practical option. Weigh yourself, weigh yourself again holding the carton, and subtract. Bathroom scales have coarse graduations, so the result is good enough for a rough figure but not for precise calculation.

Ways to tighten the estimate:

  • Weigh three times and take the middle value, because bathroom scales are not always repeatable.
  • Hold the carton steady, since a shifting centre of gravity makes the reading jump.
  • Split heavy cartons, weighing in parts and adding them together, or hang them from a luggage scale instead.
  • Check the zero, confirming the scales read zero before you step on.

How much weight does packaging material add?

The outer carton, the cushioning and the tape all weigh something, and that is the part most often left out entirely. The reliable method is not memorising figures, it is weighing the empty carton first:

  1. Assemble the carton and seal the base, then weigh the empty carton on its own.
  2. Put the cushioning you intend to use on the scales as well.
  3. Add the weight of the goods to those two figures for something close to the real total.

How different materials behave:

  • Corrugated cartons: heavier as the size increases, and double wall is noticeably heavier than single wall.
  • Bubble wrap and foam board: very light in themselves, but they push the volume up, so they hit volumetric weight.
  • Void fill paper and newspaper: heavier than people assume, and worth re-estimating when used in quantity.
  • Wooden crates and pallets: the strongest protection available, and also the largest weight increase.
  • Tape and strapping: trivial individually, but they accumulate across a full shipment.

Which figure counts when the estimate and the measurement differ?

The warehouse measurement governs, without exception. That is standard across cross-border consolidation. The numbers you enter at pre-declaration are a reference for system estimates and space planning. The weight and dimensions that are actually charged come from weighing and measuring after the goods are received, and a difference between the two does not mean the quotation was wrong.

How do you measure so that you do not under-estimate?

Under-estimating comes from three places: measuring the box without its protrusions, forgetting the packaging, and using the weight of the goods as the weight of the parcel. Correct those three and the gap between estimate and measurement usually narrows to something acceptable.

A checklist to run before shipping:

  1. Measure only after the carton is completely sealed, never partway through packing.
  2. Measure each dimension twice, taking the second reading at a different point and using the larger figure.
  3. Include every protrusion, and detach and pack separately anything that can be removed.
  4. Weigh the empty carton and cushioning first, then add the goods.
  5. Record each carton separately, with a sticky note on the box so nothing gets confused.
  6. Leave a margin, rounding estimates up rather than down, since a refund is more comfortable than a demand for more money.

Why do volumetric divisors differ between operators?

The divisor expresses how much weight an operator assigns to each unit of space, and it varies with the mode of transport, the cost of the slot and the lanes the operator works with. For air freight, 5000 and 6000 are both in common use, and which one applies depends on the carrier and the lane, so confirm before you ship. How do I estimate goods sent direct to the warehouse by the seller?

The seller chooses the packaging, so you cannot know the dimensions in advance. The best you can do is take the product specification and add a margin for an outer carton. The safer approach is to estimate first and then, once the goods are received, look at the measured figures before deciding whether to consolidate or repack. Will over-estimating the weight cost me more?

No. Charges are based on the warehouse measurement, so entering a higher figure at pre-declaration affects only the estimate, not the final invoice. Rounding up has the advantage that your budget will not be revised upwards later, and you are mentally prepared for the number. Rounding down leaves you exposed when a payment notice arrives.

If one shipment is split across two cartons, how is the weight calculated?

In most cases each carton has its own chargeable weight calculated and the results are added together, and each carton is subject to the minimum chargeable weight in its own right. Splitting is therefore not automatically cheaper or automatically dearer, and it depends on how actual and volumetric weight are distributed.
